About OTSM for Apple iPhone/iPod Touch |
This document explains how to use Open Text Social Media (OTSM) on the Apple iPhone and Apple iPod Touch. If an OTSM feature is not described here, it is not yet available on the Apple iPhone.
OTSM helps you:
- deal with mail overload by using online communities to communicate information efficiently
- expose information that would otherwise be hidden in private email exchanges by sharing it in online communities
- share files with others and collaborate on documents
- find others in your organization easily using powerful search capabilities to find relevant profile information
- keep up with what's going on using tools to track activity for things and people, such as a buddy list
- access information with your mobile device.
Livelink access
If your organization stores its records in a Livelink(R) system, you can access those records from OTSM. You'll see your Livelink system referred to by name in OTSM.
Can't do everything described here?
Community creators control what actions are available to others in their communities. You may find, depending on the community, that you aren't allowed to do everything described in this help. If you want to discuss your permissions in a community, contact its creator or moderator.

How to connect
1 At the login screen, enter the following information:
UserID |
Your email address. |

Your password. |

The IP address or DNS name of your server. |
2 Tap Login to open your OTSM home page.
Login settings
To change settings, click the information icon in the bottom right corner of your login screen. You can toggle the following features on or off:
Auto Save Password |
Automatically save login passwords. |
Show Embedded Images |
Show images that are embedded in messages and documents. |
Show Remote HTML Images |
Load images on remote servers in HTML content. |

An overview of your OTSM home page |
When you connect to Open Text Social Media (OTSM), you see your OTSM home page. This is the starting point for everything you can do in OTSM.
Profile information
Your profile picture (or a placeholder, if you haven't yet added a picture to your profile) displays beside messages in a community, followed by your name. Tapping your photo opens your profile, which contains your personal and contact information, plus your blog.
Status message
In the People area, just under your name, is a space for you to type a status message. This is a short one-liner intended to let others know what you're up to. You may want to tell them what you're currently working on, or that you're in the office today.
This message is shown with your name when you are in others' People lists.
To update this message:
1 Open the People area.
2 Tap yourself.
3 Tap Update Status.
4 Enter a new status message.
5 Tap Done.
People
You are listed here at the top, followed by the people you have decided to follow because their activity particularly interests you. A green light beside someone means they are currently online. Their name is also shown in bold when they are online. You'll see these same indicators elsewhere in OTSM.
You can open their blog or profile by tapping their name in the list. You will see their blog entries. Tap the Profile area to view their profile, and Followers to view the people following them.
Tap the Follow button to add them to your My People list and follow them.
Communities
All the communities to which you belong. A community consists of people with a common interest, such as those working on a special project, or everyone in the same department. Communities allow members to discuss issues, store files of common interest, and add to communal wikis.
A red dot indicates that a community contains unread posts. The number in the dot indicates how many unread posts there are. To open a community, click it.
To create a community, tap while in Communities, then follow the instructions.
Invitations
If you've been invited to join a community, you'll see the invitation in this area. Tap the community to enter it, and then tap Watch to add it to your home page.
Flagged
This section lists everything that you are monitoring for changes. You may want to know, for example, when a post is replied to, or a file or wiki page is updated. A red dot means that object has changed.
To open a flagged object, tap it.
To add an object to this list, make sure it's open, then tap .
Search
You can search OTSM for all items, people, and communities that match your search term.
To perform a search:
1 Go to the home page.
2 Tap Search.
3 Enter the search criteria.
The results are broken down into Content (posts, documents), People, and Communities.
Content |
Objects, such as posts, that contain your search term. |
People |
Everyone who has contributed something that contains your search term, or has that term in their profile or blog. |
Communities |
All communities with objects that contain your search term or have that term in their community description. |
Logout
Disconnects you from OTSM.
Your profile: Telling others about yourself |
Your profile contains your picture, plus personal and contact information that gives others a snapshot of who you are and how to get in touch with you. You can also maintain a blog in your profile that gives even more information about your interests and experience. Blogs are discussed elsewhere in this help.
OTSM is all about people working together, so filling in your profile is key.
To open your profile, tap People from your home page, tap yourself, and then tap the Profile area. You can also open others' profiles by tapping their photos wherever you see them and tapping the Profile area.
Can't open others' profiles?
You won't be able to open others' profiles if you are an external user (you normally connect to a different system, and are here because you were invited). In addition, you'll only see generic placeholders for others' pictures.
You are still encouraged to fill in your own profile, so others will know who you are.
Supplying a profile picture
When you first connect to OTSM, you'll see a generic placeholder picture where your photo should be. This is just here until you replace it with a picture of yourself.
You can use any picture on your iPhone/iPod Touch that is in JPG format.
To supply a profile picture:
1 Go to the home page and tap People.
2 Tap yourself.
3 Tap Photo Profile Picture from the menu.
4 Select a Profile Picture from the iPhone/iPod Touch.
OR
Tap New Profile Picture, take a picture, and then follow the instructions to upload your picture.
Supplying personal information
To supply the information that will tell others who you are and how to contact you:
1 Go to the home page and tap People.
2 Tap yourself.
3 Tap Open Profile from the menu.
4 Tap the Profile area.
5 Tap Edit.
6 Tap the sections you wish to edit and update accordingly.
Updating your status message
1 Open the People area from the home page.
2 Tap yourself.
3 Tap Update Status.
4 Enter a new status message.
5 Tap Done.
People: Keeping track of others |
The People section on your home page is your personal buddy list. You can tell at a glance when anyone listed here is online, or has updated their blog.
This list shows everyone's profile picture, plus their status message. If they are online, their name is in bold and you'll see a green dot. If their blog has been updated since you last looked at it, you'll see a red dot. The number in the red dot indicates how many unread updates there are.
You can open a person's full profile and blog by tapping their photo anywhere in OTSM or their name in your People area.
Don't see a People list?
You won't see People on your home page if:
- you haven't yet added anyone to the list
- you are an external user (you normally connect to a different system, and are here because you were invited).
Note
External users can't create a People list.
Adding someone to the list
To add someone to your My People list:
1 Find them listed somewhere in Open Text Social Media.
- For example, you could search for their name or open a community that you know they belong to.
2 Tap their photo.
3 Tap .
Communities: Working together |
When you first log into OTSM, you will see your home page containing the communities of which you are a member. You can create your own communities to suit your needs, and others can also create communities and invite you to join.
What you can do in a community
Within a community, you can:
- carry on discussions
- upload (post) images of interest to everyone in the community
- create and add to wikis
- view members of the community.
Uploading files and working with wikis are described elsewhere in this help.
An overview of a community page
When you enter a community, you'll see:
This tab shows all community activity in chronological order. You can carry on discussions here, and OTSM also posts a link on this tab whenever a file is uploaded or a wiki page is created or updated. |

This is the place to upload files for sharing with others in the community. |
|
Contains all wiki pages created by community members to share information. A wiki page is a kind of document that community members can create and update right in OTSM. |
|
Lists everyone who has entered this community and access to their blog. Members are listed in date order, starting with the most recent visit. You can tap to display a person's blog. |
|
Lets you activate/deactivate a watch for this community. |

Reading posts in the Feed area
In the Feed area, you'll see all topics and questions posted to the community, plus responses to these posts.
Each post is displayed with its responses under it in a discussion thread and each is represented by the picture of the response author. Anything you haven't yet read has a red dot beside it. You can open the post by tapping it. This also makes the red dot disappear.
The red dot will also disappear if you scroll past it when viewing the Feed area.
What you can do with posts
To work with a post, click it. This displays a menu of actions you can perform on the post:

Posting to a community
To create a post on a new topic, tap . You will be presented with a menu of options:
New Topic |
Creates a new message addressed to the current community. |
New Question |
Same as New Topic, but also contains a question mark icon in the Feed. |
Upload Photo |
Opens your list of current photos stored on the device. |
Upload New Picture |
Switches to camera mode so you can take a new picture. |
If this is a response to an existing post, you'll also see the previous post's content.
If this is a new topic, you'll see areas for giving the post a name and for typing the content of your post.
Adding content
When you are ready to add content, tap the content area. You can type plain text here. You can also:
attach a photo that is in your iPhone/iPod Touch |

Viewing uploaded file and updated wiki page posts
When you view uploaded file and new or updated wiki page posts on the Feed tab, you are really working with the objects themselves, because these posts are links to the files/wiki pages.
Warning
- Deleting these posts on the Feed tab also deletes the file on the Documents tab or the wiki page.
Joining communities
There are several ways to add communities to your home page. Some communities will simply be there because your OTSM custodian has added them. Other people may invite you to join their communities, and you may uncover communities on your own, and decide you want to join them.
If you are invited to join a community, you will see the invitation under Invitations on your home page. You can open the community by tapping it, and if you want to join, tap Watch to add the community to your home page. OTSM will also email you the invitation, so that you know about it even if you aren't connected at the time.
If you find a community that sounds interesting on the search results page, you can tap it to enter. If you decide you want to join, tap Watch to add it to your home page.
Limitations
- You can't open private communities.
- Some communities will let you read, but not post.
- If you are an external user (you normally connect to a different system, and are here because you were invited), you won't see any communities beyond the ones you were invited to join.
Inviting others to join communities
You can invite people to join any communities that you created. You may also have been given permission to invite others by a community creator.
To invite someone to a community:
1 Open the community.
2 Tap Members.
3 Tap .
4 Enter the person's OTSM user name or, for an external user, their email address.
5 Enter a message that you want to accompany this invitation.
6 Tap Invite.
Everyone you invited will receive an email inviting them to join, and if they are already part of OTSM, they'll also see your invitation on their home pages. You'll see all of them in the Members list. If you invited people who aren't yet part of OTSM, you will also see them under People on your home page.
Creating communities
You can create your own communities and invite others to join. To create a community:
1 Tap in the Communities area of your home page.
2 Fill in the name and description of the new community.
3 Choose the type of community.
Note
- The type of community you choose controls how accessible it will be to others. Read the description of each community type carefully before selecting one.

This community will not show up in a search |
4 Toggle On/Off the ability for members to post to the community.
5 Tap Create.
After you click create, your new community is added to your home page. You can now open this community to invite people to join.
The Documents area in a community stores uploaded (posted) files of all types that are of interest to the community. Everyone in the community can view these files, save them to their own computers, and update them.
To open an uploaded file, tap it.
To upload an image file, tap followed by Upload Photo or Upload New Picture.
Wiki: Sharing information |
The Wiki tab in a community stores wiki pages. These pages are documents that are created directly in OTSM. They can be viewed and updated by everyone in the community with a computer. Because of this, and the fact that only one person at a time can update them, they are an excellent way to create collaborative documentation.
To view an item, tap it. To add comments to an open item, tap .
Creating a wiki page
To create a wiki page:
1 Tap Wiki within the desired community.
2 Tap .
3 Fill in the Subject and content.
Each time you create a new page or edit an existing page, it is reported on the community Feed.
A blog is a personal collection of dated entries in chronological order, like diary entries, that you create on any topics you want. Blogs are a good way to get detailed information about others' interests and skills. To see someone else's blog, go to their profile. Any entries, or comments on entries, that you haven't yet read have a red dot beside them. Just like community posts, reading an entry removes this dot.
Viewing others' blogs
You can view others' blogs by tapping their picture. If you are following them, you will see them listed in your People area. If you aren't following them, do a search for them.

3 At the menu, tap Open Profile to open your blog.

The post is automatically added to your profile.
